Categorize Transactions

This page describes how you can categorize your transactions so that Integral can sync your Journal Entries to your connected ERP.

In order to fully understand how to categorize transactions, you first need an understanding of the different states transactions can be in when inside Integral.

For Review

Any new transactions from your added Wallets and Accounts will land always land in For Review, unless they are categorized by a rule. In For Review, you'll have the opportunity to double check the types of transactions occurring in your accounts, such as Deposits, Withdrawals, Transfers and Exchanges, as well as other information related to the transactions.

The main task to do in For Review is to Categorize transactions into one of your GL Accounts that is imported from your connect ERP, by clicking the dropdown in the GL Account column.

Once you have categorized a transaction, you will be able to move it to the tab Reviewed.

Reviewed

Once all your transactions have been categorized, they will live inside Reviewed until they are synced to your connected ERP. This is the last page you can double check your transactions before the Journal Entries are created.

The main task to do in Reviewed is to click on Sync Txn in the bottom right corner to generate your Journal Entries and sync your transactions to your connected ERP.

Synced

Once your transactions are synced, they will appear in the Synced tab. There's no action required here, except to review past transactions for any issues.

In rare cases, you might need to re-sync transactions due to a user error. You can move a transaction back to For Review, but ensure you amend the Journal Entry in your ERP to avoid duplicating line items.

How to view excluded and spam

Integral has robust spam filtering built-in, but there may be cases where you want to review those transactions anyways. To view Spam and Excluded transactions, click on the View icon in the top right-hand filtering section, and toggle Excluded and/or Spam.

To view all your spam tokens and mark/unmark them as Spam , head to Policies -> Spam.

Bulk Actions

When you select multiple transactions in Bookkeeping V2, several Bulk Actions become available. Simply select more than one transaction, and a menu bar will appear at the bottom of your screen:

Memo: Add a short description to a bulk group of transactions

Class: Add a bulk group of transactions to a Class imported from your ERP

Status: Move a bulk group of transactions (up to 100) to a different Bookkeeping page (most commonly used to exclude transactions).

Rules

As your business continues to scale, it will become too time-consuming to manually categorize transactions. Rules are designed to automatically categorize transactions for you, based on specific settings you put in place. To create a new rule:

  1. Login to your Integral account

  2. Click on Rules in the left-hand menu bar

  3. Select Add Rule

In Rules, you will be able to create If/All statements that transactions will filter through. If a transactions fits the conditions that you set, it will be categorized as the susequent action in the rule.

Rules have a priority, meaning if a transaction fits the conditions of more than 1 rule, it will be categorized based on the highest priority rule:

To adjust the priority of a rule, simply click the icon under Sort and drag the rule up or down.

To categorize more than 100 transactions at once, you will have to create a rule with the required conditions. All historical transactions that fall under that rules conditions will be categorized!

Integral does not allow transactions that do not have a token priced to be synced to your ERP.

When a transaction is associated with a token that Integral does not automatically recognize, it will be unpriced. In order to update the price - you can click into the transaction details and manually price the token yourself. You can also reach out to Integral support to price the token (help@integral.xyz).
